Social Media Content and Personal Device Use Policy

Purpose

The purpose of this policy is to establish expectations regarding the creation, ownership, storage, and use of digital content for State Technical College of Missouri (State Tech), including the use of employees’ personal electronic devices for College business.

Content Ownership

Photos, videos, recordings, graphics, and other digital content created by employees within the scope of their employment or as part of their assigned College responsibilities are the property of State Tech, regardless of whether the content was created during regular working hours or using College-owned or personal equipment, subject to applicable law or agreement

Official College content must be transferred to an approved College-managed storage system and remain accessible to authorized College personnel.

Employees are responsible for ensuring College content is appropriately transferred and maintained in accordance with institutional procedures.

All official State Tech social media accounts, including accounts operated by individual academic programs, departments, or other College units, must be registered with and approved by the Marketing Department. The Marketing Department must maintain appropriate administrative access to all official accounts. Employees may not establish or maintain official College social media accounts using personal credentials as the sole means of access.

Use of Personal Devices

Employees may voluntarily use personal electronic devices to create College-related content when authorized.

Employees are not automatically required to provide personal equipment to perform assigned job responsibilities. When equipment is necessary, departments will work with College leadership to identify appropriate resources or alternatives.

An employee’s voluntary use of a personal device for College business does not establish an ongoing requirement to use that device. Employees may discontinue voluntary personal device use by notifying their supervisor so an appropriate alternative can be arranged.

The College does not automatically reimburse employees for personal device purchases, service plans, storage expenses, or equipment damage. Any reimbursement or replacement request will be reviewed in accordance with applicable College policies and procedures.

Social Media and Content Management

Official College social media accounts and content created for institutional purposes must remain under the control of State Tech.

Employees will not be required to use personal social media accounts, Apple IDs, Google accounts, personal phone numbers, or other personal credentials to create, access, or manage official College social media accounts or content. Official accounts must be established and maintained using College-approved credentials and access management procedures.

Employees must follow College marketing, branding, technology, privacy, and records retention requirements when creating or distributing official content.

College-related photos, videos, and other digital content must be transferred to an approved College-managed system as soon as reasonably practical. Once successful transfer is verified, employees must delete College content from personal devices and personal cloud storage, including automatically synchronized copies, to the extent within their control.

Marketing and Information Technology will identify and communicate approved methods for creating, transferring, storing, and managing College content. Employees will receive appropriate instructions before being expected to follow these procedures.

Employee Participation in Marketing

Employees may be photographed or recorded during normal College activities and events in accordance with applicable College policies.

Participation in staged promotional photographs, videos, testimonials, or other marketing activities will generally be voluntary unless participation is a reasonable and established responsibility of the employee’s position. Applicable consent and media release requirements must be followed.

Employees may communicate concerns about participation in promotional activities to their supervisor or Human Resources. Requests will be reviewed in consideration of assigned job responsibilities and applicable policies.

Responsibilities and Compliance

Employees and supervisors are responsible for following this policy and ensuring College content is appropriately managed.

Marketing, Information Technology, and Human Resources will provide guidance regarding approved systems, content management, employee participation, and related procedures. Employees will receive appropriate instructions before being expected to follow these procedures.

Failure to follow communicated procedures may result in corrective action consistent with College employment policies.
